CONNECT 2024
BPM as a Baseline for Transformation
Why do IT and ERP projects keep repeating the same failures - despite new tools, new partners, and new plans?
Key takeaways of this session:
- ✔
Build your process framework on an external standard like APQC to avoid designing for today’s organization instead of the future state.
- ✔
Measure process usage with data and use it to hold teams accountable for adoption and compliance.
- ✔
Secure executive support early to make process management part of daily operations and not just documentation.

Summary
Many organizations have documented processes, but use them mainly for audit and compliance. In this session Steven explains how Speedy built a business process management capability during its Microsoft Dynamics 365 implementation. You will learn how they structured a process framework using APQC, enabled governance, and used Power BI to measure adoption. The result is a clear baseline that supports continuous improvement and organizational change.

From Audit-Based Documentation to Data-Driven Process Control
An overview of how Speedy built a structured BPM capability and connected processes, people, and data to support operational change.

Processes Exist Only for Compliance Purposes
Speedy had documented processes in place, but they were mainly designed to meet regulatory and safety audits. These static documents did not help improve operations or guide employees in daily work. Traditional approaches like static documentation, siloed knowledge, and minimal governance resulted in limited usability and no structured way to improve or manage processes across the organization.

Transformation Requires Structured Process Capability Now
The implementation of Microsoft Dynamics 365 created pressure to formalize process management. Without a clear BPM capability, the risk of failure increased significantly. At the same time, Speedy launched a strategy to double profit within three years, making process alignment, standardization, and adoption critical for execution.

Shift From Static Documentation to Continuous Improvement
Speedy moved from maintaining processes for audit purposes to treating them as a core operational system. Processes became visual, owned, and regularly reviewed with defined governance. The focus shifted toward measurement, prediction, and continuous improvement, supported by accountability and executive alignment. This approach embeds processes into daily operations rather than keeping them as isolated documentation.

Adoption Becomes Visible Through Integrated Data Insights
Speedy combined process data with HR data and Power BI to track adoption monthly across roles and departments. This allows the organization to see exactly who is using which processes and where engagement is lacking. With around 600 processes documented in two years, Speedy created a measurable baseline and can now actively manage adoption in a way that static tools cannot support.
“This is about business change. This is not at all about technology.”

How did Speedy build a business process management capability from scratch?
Speedy built its business process management capability as part of its Microsoft Dynamics 365 implementation. Initially, the organization had no structured BPM capability, which was identified as a critical gap during a transformation readiness assessment. They introduced a formal process framework, defined ownership, and implemented governance to manage and continuously improve processes across the organization
